Assigning Tasks

How to assign tasks to Groups, Teams or Users

At both Event and Runbook level, there are two teams already provided: Management and Authors. The Manager who created the Runbook will automatically be included in the Management Team and tasks can be assigned to that user. Additional Users can be added to both the Management and Author Teams, so tasks can then be assigned to them.

Team Membership can be managed at the Event level or the Runbook level.

If a Team is created at the Event level, tasks can be assigned to that Team on any of the Runbooks included in the Event.

If a Team is created at the Runbook level, then only tasks in that Runbook can be assigned to that Team.

Once Teams have been created, you can add Users to that Team who can then be assigned as Task owners, with the same rules applying on Teams being created at Event or Runbook level.

Once you have created your Team Membership and added users to that Team, you can assign tasks to those who will be responsible for carrying out activities.

  1. To assign a task to a team, go to the Planner page of the Event or an individual Runbook and click on the plus sign under the column Assignment Team and on the row of the task to be assigned. You will be presented with all the appropriate Teams under your Team Membership. Select the chosen team and this will then appear on the relevant row. Members of this team will have the permissions to activate and complete tasks as they become available.
  2. Repeat the process for assigning a task to a task owner, but under the Assigned To column. All users from your Team Membership will appear on the list, and can be selected. These users can then activate and complete tasks when they become available to them.
  3. The same process can be followed to assign a task to a Group, under Assignment Group. Anyone from that Group would then have the permissions to activate and complete that task when the time comes. Groups are created within your organisation's ServiceNow platform.

In addition to assigning tasks from the Planner screen of an Event or a Runbook:

  1. Click on the task wbs to open the task slide-in and go to the Assignment tab
  2. Once you have assigned the task to an individual, a team or a Group the changes to the task will automatically be updated

If you have assigned a task to a Team, only the users from that team can then be assigned the task.

If you have assigned a task to a team and a user, then change the team, the user will be removed and you can then choose to assign the task to a user from that team.
